With the cheapness of emerging markets, who can often provide excellent labor at lower prices than domestic competitors, outsourcing has fast become an option considered by all sizes of business. Payroll makes for a great candidate to outsource, as it is time-consuming and usually requires staff who do nothing else but focus on the logistical problems involved in billing and paying. Essentially, in payroll outsourcing you will be paying somebody else to do all that work for your office. While it sounds like it would be cheaper and easier to just do it yourself, that's not necessarily the case. Outsourcing firms do nothing but the type of work that you'll be outsourcing to them, so they are experts at what they do. This also means that they can afford to charge less, as they may be providing outsourcing to several different clients at once.

Probably the most common type of outsourcing on offer, this will involve sending your work to firms in foreign countries, often those which are classified as "Developing" or "Emerging." All that really means is that the cost of living is lower, so the price you're charged will also be lower as outsourcing firms located abroad don't have as much overhead and don't have to pay their employees as much. While foreign outsourcing is often frowned upon by unions and the general public, the fact of the matter is that it can be a valid and effective corporate strategy to try payroll outsourcing services or other aspects of your business. Countries commonly involved in foreign outsourcing involve India, China, and various South American countries. You don't usually have to worry about language barrier problems, either, because payroll outsourcing providers make sure their employees speak perfect English.

Domestic Payroll Outsourcing

If you like the idea of payroll outsourcing, but are against the idea of sending work abroad, there are plenty of companies who provide similar services within the nation's borders. These payroll outsourcing companies may be a bit more costly, but even then you will more than likely save money in the long run. Not only will you not have to hire payroll employees, you will also save on supplies and utilities, since your office will be doing less work than before. Domestic payroll outsourcing is an excellent option if you have a little bit more of a budget to play with, as it means the companies you hire will likely be even more intimately familiar with the payroll process as it is in America than their overseas counterparts. This option is also for those who feel ethical or moral compunctions about sending labor outside of the troubled economy here at home.

Obviously, one of the most important things to consider when you're thinking about payroll outsourcing is security. You may be worried about giving out private financial information, both your own and your employees', to another payroll outsourcing provider to manage. Surely that will just make it more liable to theft, right? Actually, that's not really true. In fact, payroll outsourcing can actually make your payroll processing and management more secure. That seems counter-intuitive, since you're adding more people into the process, but it makes sense when you think about it. The company to whom you are outsourcing has a lot more to gain from acting in a secure manner than they do from stealing your employees' pay or information. If they do that just once, they'll be more or less out of business, whereas by ensuring security measures are met they can continue to get other people's business, and make a lot more money. Still, you should make sure you discuss security with the payroll outsourcing company.

Payroll Outsourcing and Taxes

Another important thing to remember is that even if another company is doing your payroll, you are still ultimately responsible for making sure your taxes get turned in. This is another thing you want to discuss before selecting a company for payroll outsourcing. Most companies will use the IRS's EFTPS (Electronic Federal Tax Payment System), which allows you to check the status of your filing and confirm payments made on your behalf. If a company is not using the system, politely decline and find someone else, because it will save you a lot of headaches. Even though the payroll outsourcing company will be the one doing the filing for you, that won't let you off the hook if something goes wrong.
